Agenda

The Dissertation Proposal Workshop will begin on Monday, May 20, at 9:00 am, and will conclude Friday, May 24, no later than 4:30 pm. The workshop will be held on the Howard University campus. Please see the tentative workshop agenda.

Workshop Registration

All participants are required to complete the online Workshop Registration form. Please register by April 8.

IRP will cover lodging and transportation costs to and from Washington, DC. A $300.00 stipend will be provided to each participant after the workshop to assist with expenses incurred for meals while not at the workshop, taxis, parking, and other miscellaneous costs, while at the workshop. Baggage fees may be reimbursed by submitting a travel reimbursement form.

Transportation to/from Washington, DC

Air/Train Transportation: If you are traveling by air or train, you must book your ticket through the University’s contracted travel agency, Fox World Travel**, by April 26. Your flight will be directly billed to IRP. Provide the Group Code below when making a reservation.

Please keep the following in mind when making your travel plans:

  • Ronald Reagan National Airport is the closest airport to Howard University.
  • Arrivals on Sunday, May 19, are anticipated and encouraged.
  • Departures should be scheduled after 6 pm on Friday, May 24, or the morning of Saturday, May 25, as the workshop will end at 4 p.m. on the 25th.
  • Indirect routing, extra stops, or trip extensions for personal reasons are allowable, provided there are no additional costs incurred. A cost comparison, obtained at the time of booking, is required. Fares will be compared and any additional expense for personal travel will be the responsibility of the traveler at time of purchase. You will still need to book through Fox World Travel. Please contact Dana Connelly, 608-262-6358, before booking a flight with an indirect route/extra stops to ensure you follow the appropriate procedure and secure the proper documentation.
  • Air: Reservations must be made in coach/economy class (no first/business class). Seat assignment fees for premium class travel are not reimbursable.
  • Costs associated with the following are allowed with proper documentation:
    • baggage fee for one bag within the airlines’ weight and size limits and
    • change/cancellation fees due to events outside of traveler’s control.
  • Train: Train travel is limited to coach class unless traveling overnight when accommodations are limited to roomette. Payment is limited to the lowest cost means of public transportation. An air travel cost comparison from Fox World Travel will be required at the time of booking. IRP will pay the amount of the ticket with the lowest cost.
  • The university cannot pay ticket change fees due to issues not imposed on the participant by the university or program administrators.

Privately Owned Vehicle: Use of personal vehicles is allowed when the use is less costly than alternative means of transportation (air) or when there are conveniences or safety issues that justify the additional costs. Mileage will be reimbursed at the IRS authorized mileage rate effective on the date of travel using the most direct route. Reimbursement is limited to the lowest cost means of transportation.

Car Rental: We discourage the use of rental cars for transportation. A rental car will only be allowed if it is the most cost-effective means of transportation to and from the workshop. The University’s car rental contracts must be used and cost comparison must be provided. Parking: If you will be driving and need information about parking on the Howard University campus, please indicate this on the registration form.

Accommodations

Workshop participants will have individual rooms available at a dormitory on the Howard University campus for six nights: Sunday, May 19 through Friday, May 24. Please confirm the number of nights you will need on the workshop registration form. The dorm room includes bed linens (a fitted sheet, a flat sheet, a pillow case, and a blanket) and a toiletry package (two bath towels, five wash cloths, soap, a toilet paper roll, and a trash bag). You are encouraged to bring any additional personal care items you might need. Participants should not book lodging arrangements on their own.

Access to the Building; The front desk will be provided with your name and room assignment following check-in, however, for security purposes, all guests will be required to show their ID (at all times) upon entering the building.

Walking Directions from Howard Plaza Towers to the Workshop Location:
Exit the Howard Plaza Towers on Barry Place. Turn right and walk two blocks to Georgia Avenue. Turn right at the corner of Barry Place and Georgia Avenue. Walk two blocks to W Street. Cross Georgia Avenue to reach the entrance to the Howard University Interdisciplinary Research Building located at the corner of Georgia Avenue and W Street.

Parking near the Howard University Interdisciplinary Research Building (HUIRB):
Visitor parking is available on the Howard Center Lot at a rate of $10/day. The lot is located in the 2200 block of Georgia Avenue NW across from HUIRB. The entrance to the lot is on 8th Street NW.

  • A group welcome dinner/reception will be held on Monday, May 20.

Stipend

A $300.00 stipend will be provided to all participants to help cover expenses while at the workshop, including food, ground transportation, parking, and other miscellaneous expenses. Please complete the W-9 form and return via e-mail to Dana Connelly, by June 21.

Travel Reimbursement Forms will be available at the workshop for those that need reimbursement of travel expenses to and from Washington, DC (including baggage fees).

If you need to cancel your trip, please notify Dana by Friday, May 17.
